Shipping

Shipping services

If your order and payment arrive before 12:00 on a weekday excluding public holidays, and the items are in stock, your order is shipped the same day. Orders and payments arriving after 12:00 are shipped the next working day.

All consignments are carefully packed to minimize transit damage. Large shipments are often palletised and shrink-wrapped. Wherever you are located, we use selected express shipping partners for fast delivery.

Delivery can occasionally be delayed by severe weather or carrier issues. In the event of a delivery failure, liability is limited to reimbursement of the delivery charge only. Prices shown are in EUR, excluding VAT and surcharges, and are based on the base rate up to 31 kg. Delivery times and prices are guidance only; errors and omissions excepted. Timed services are available only to limited destinations.

VAT

Dutch, EU, and non-EU sales

VAT is charged on all sales within the Netherlands regardless of payment method or VAT status.

For EU sales to non-Netherlands EU customers who are registered for VAT, VAT is not charged when a valid VAT number is provided at checkout or to our sales team. VAT numbers should be validated through the EU VIES VAT number checker.

For customers outside the EU, sales where delivery takes place outside the EU are exempt from VAT and include a commercial invoice to help customs clearance.

When a VAT registration number is supplied by a business customer, we may validate it through the VIES VAT number checker before applying any VAT exemption.

Returns & Exchanges

Right of withdrawal and return process

If you are a consumer, you normally have a 14 day right of withdrawal after receiving your order. To use that right, the item must be returned in new and unused condition with the original packaging and documentation where reasonably possible.

Claims for missing items or transit damage should be reported within 24 hours of delivery so we can check the carrier record. Items that are opened, used, incomplete, or damaged due to customer handling may be refused, repaired, or subject to a restocking fee where permitted by law.

To return an item, request an RMA number first, use the original packaging inside a suitable outer carton, do not place labels on manufacturer packaging, and ship with tracking and insurance. Return shipping costs are the customer’s responsibility unless the return is due to our error or a defective product.

Payment & Pricing

Secure payment options

We accept PayPal, including credit cards processed through PayPal, and bank wire transfer in Euro. When bank transfer is selected, a pro-forma invoice and bank details are sent automatically.

We also offer 30 day account credit terms to government, corporate, and business customers subject to status and credit check. Payment terms apply after approval.

Prices are shown in EUR and, unless stated otherwise, are exclusive of VAT, surcharges, and shipping costs. The exact shipping cost and any applicable VAT are shown before checkout where possible.

When an order is paid before noon, it is normally shipped the same working day. If an order cannot be shipped within 30 days after payment, the customer may cancel the payment. Delivery times are communicated when goods are out of stock.

Warranty & conformity

Consumer rights remain unaffected

Products are supplied with the legal warranty rights that apply under Dutch and EU consumer law. If an item does not conform to the agreement or arrives defective, please contact us so we can assess repair, replacement, or refund in line with the applicable law and the product condition.

Any manufacturer warranty is additional to your statutory rights and does not limit them. For business customers, any liability and warranty limits are set out in the applicable terms and conditions to the extent permitted by law.

Complaints

Contact us first

If you have a complaint, please contact support@vibesta.com and include your order number, the product name, and a short description of the issue. We will reply as soon as reasonably possible.

If we cannot resolve a complaint, consumers may use the relevant dispute resolution options available under applicable law. Any legal disputes are handled under Dutch law and, where permitted, before the competent court in the Netherlands.

Privacy

How we use your data

We collect and use personal information to process orders, provide support, improve our products and services, send important notices, and prevent fraud. Non-personal information may be used in aggregated form to improve the website and customer experience.

The legal bases for processing may include performance of a contract, legal obligation, legitimate interests such as fraud prevention and service improvement, and, where required, consent.

We may share information with service providers who help us fulfill orders, manage customer data, handle credit checks, host the website, and provide support. We keep personal data for as long as needed to fulfill the purposes described in this policy or as required by law.

You may have rights to access, correct, delete, restrict, or object to the processing of your personal data, and to withdraw consent where processing is based on consent. You can also lodge a complaint with the Dutch Data Protection Authority if you believe your rights are not respected.
